Summary:
The client is looking for a dynamic PMO (Program Management Office) Automation Specialist with Collaboration and Reporting Tools to help increase project management and operational teams’ efficiency, transparency, and effectiveness as a member of the Strategic Planning/PMO team.
This individual must have at least 5+ years of experience in setting up and managing Project Collaboration and Reporting tools within medium to large size teams preferably experience with Atlassian suite of Products (Trello, Confluence and JIRA), G Suite and MS Office. They will be helping to assess current processes and automation of the workflows for project operations and reporting, set up (existing and/or new) platforms and tools to help involved teams, and coach and guide them on usage.
The individual must have the ability to understand and manage complex organizational ecosystem involving many different cross functional teams with ease.

Responsibilities:

  • Spearhead ideas for productivity and problem solving for teams with Process and Tools
  • Spearhead Optimization – Improve workflows and key features to ensure everything is organized. Discover better ways to work with tools and enhance integration across various platforms.
  • Spearhead the “Innovate and Automate” Journey by recommending specific process automations which create business value
  • Spearhead tools audits – Help with review of existing setup and align the usage of tools with business goals. Improve on what we already have so you can we can maximize our productivity.
  • Set up, manage, and administer over current and future cross teams’ collaboration platforms and tools include Atlassian (Trello, Jira, and Confluence), Slack and G Suite applications
  • Set up and manage (add/remove/update) boards, spaces, workflows and channels as necessary by project and operational teams
  • Perform data analysis, create dashboard and reports with data visualization as needed by the team or projects
  • Provide coaching, training, and support on best practices for current and future collaboration tools (Trello, Jira, Confluence, Slack, etc.)
  • Create Proofs-of-Concept (PoC) and custom workflow solutions for potential implementation using existing and/or prospective collaboration tools, plus associated apps/plug-ins/power-ups/automation tools
  • Create online forms and setup necessary automations for Trello and/or Jira cards creation and configuration as needed by operations or project teams in order to create workflow efficiency
  • Create governance and security policies and procedures for relevant collaboration tools and help implement, enforce, and audit as necessary. Create and maintain documentation as needed.
  • Manage (add/removed/update) users and user groups
  • Evaluate new platforms and tools for inclusion into current workflow or as a replacement for existing ones
  • Manage budgets related to relevant platforms and tools
  • Play a pivotal role in process improvements and optimizations through automation
  • Provide recommendations on “Out of the box” approaches to solve a problem with systems and tools which make sense to incorporate

Required Skills and Knowledge:

  • 5+ years of extensive hands-on knowledge and experience with Atlassian platforms (Trello, Jira, Confluence), may have had experience playing an Atlassian consultant role before is a plus.
  • Experience managing collaboration platforms (Slack, Microsoft Teams) is a plus
  • Experience utilizing associated apps/plug-ins/power-ups/automation tools for above platforms such as Zapier, Unito, Butler Automation, Jot form, etc. is a plus
  • Experienced with analyzing data, building dashboard reporting and data visualization is a plus
  • Knowledge of programming languages (e.g., VBA, macros/apps script, Python) for automation is a plus
  • Understanding of project management best practices for both technical (e-Commerce) and non-technical (marketing agency, etc.) types of projects is a plus
  • Experience working with enterprise project/portfolio management platforms is a plus
  • Understanding of business needs, goals, and processes in order to help process improvement and workflow automation that can improve efficiencies and qualities of work is a plus
  • Good communication, presentation, and interpersonal skills. Must be able to present to and communicate with those from business leaders to operational team members
  • Experience working in large multinational company is a plus
  • Working experiences with digital marketing agency and e-Commerce environment is a plus

Education / Certifications:

  1. Bachelor’s Degree, MBA is a plus
  2. Atlassian Certified Expert / Trello Specialization is a plus
Pay Rate: $30.00 – $34.00
