Effectively transitioned more than 100 contractors to a new system in just 30 days without any business delays or loss of staff.

Our client

A major utility company provides electric, gas, and steam service to more than 10 million people in their territories and operate one of the world’s largest energy delivery systems. They had a critical time-sensitive need to implement a new hiring, timekeeping and billing system to replace both the internal and external systems. All manager, vendor, and contractors, will use new system to source, engage, manage time, and create consolidated invoices for IT staff augmentees.

Their challenge

  • With less than one month’s notice, the client was decommissioning their old system and moving all contractors over to a VMS. Current system and processes had been in place for 10+ years.
  • Needed to inform all current contractors of the pending change, educate them on how to use the new system, and revamp all previous processes for time reporting, expenses, etc.
  • Ensure Managers have work orders for every current contractor with correct information, billing rates and project codes.
  • Address and close out any outstanding time keeping, invoice or billing issues prior to the current system being decommissioned.
  • Complete all of this without disrupting the client’s day-to-day business or losing any of their current workforce.

Our Solution

As a strategic staffing partner to this client for more than 20 years, they trusted us to implement a high-touch engagement model that included:

  • Direct individual contact with Procurement and Supply Chain to ensure that the process moved smoothly
  • Dedicated accounting team to review all billing and invoicing data, identify gaps and concerns, and rectify any outstanding issues in a timely manner, prior to the current system shutdown.
  • Weekly and sometimes daily communication with client Managers to ease concerns, confirm details and assist with the transition.
  • Identified 3 employees to reach out to all 104 Contractors via phone, text and email to guide them in the system transition process. Sent out reference guides, daily reminders and a help desk line to ensure each Contractor was comfortable with the change and the day to day work was not disrupted.
  • Restructured our internal processes to adapt to all of the new changes.

  • Successful go-live after less than one month to prepare for the transition.
  • All 104 Contractors at the time were successfully switched to the new system without any disruptions in business.
  • Analyzed all data in the newly implemented system, identified any errors and worked directly with Procurement and client managers to correct any errors in a time-sensitive manner.
  • Ensured Client, Manager and Consultant satisfaction with daily follow-ups and direct communication.
